The Challenge

The initially perceived need, a few years back when there were only 50 employees in one location, was to Introduce a system to keep track of employee data and manage absences. Cass Art

Cass Art is on a mission. A mission to fill every town with artists, underpinned by the company’s long standing manifesto. Cass Art is committed to encouraging everyone to realise their creative talents by providing the world’s top quality materials at the guaranteed best prices. Mark Cass, CEO and Founder, along with his family, has been involved in art over many generations – his great uncle, Paul Cassirer, was an important art dealer in the 1920s and was a promoter of the Impressionist movement in Europe. Cass Art not only partners with some of the leading art brands across the UK, including The National Gallery, The Royal Academy of Arts, National Galleries Scotland and Sky Arts, it also works with local galleries and art institutions.

The Challenge

Having presence in a number of different locations, all over the UK, it was an administrative nightmare to keep track of employee information and be able at any time to be up to date about our workforce. In addition to this we also needed to be able to provide our Executive team with adequate reporting in relation to our staffing, including but not limited to recruitment metrics, employee demographics and staff turnover, and also have the correct information to smoothly run critical processes such as payroll.

The Solution

Cass Art selected Exelsys HCM, which proved to be the most ideal solution in supporting their HR strategy, i.e. streamline HR planning and processes across different regions, unifying people data, simplifying workforce decisions and being flexible enough to keep up with a list of ever growing requirements.

The Benefits

Through self-service, it provides transparency and efficiency, as everyone can view their relevant information. For example, managers can view the leave status for their teams, shift plans and time attendance. The system automates leave management, allowing Managers to easily review and approve absence requests, received through e-mail. The introduction of Time Attendance and Shift Management further enhanced and streamlined the HR function, by greatly improving the planning, and control of shifts and employee attendance, taking away the laborious element of manually executing it. This proved to be invaluable during the end of month payroll processing.

Neurosoft was growing fast and was finding it increasingly difficult to manage and maintain employee data, in a timely manner. Employee records existed in different databases, excel sheets, or paper forms. It was also not easy to provide timely and up-to-date employee information and reports as they did not have a tool to provide a real time data. HR Administration was very time consuming and there were delays in internal processes (e.g., absence approvals, smooth execution of performance management process, approving training courses etc.).

The Solution

Neurosoft selected Exelsys because it was a modern cost effective and configurable solution that could satisfy neurosoft's requirements.

Through self-service, the solution provides transparency and efficiency, as everyone is now able to view their own HR data. For example, employees can view their own data and managers can view the data of their teams, including absence, training and appraisal records. This has resulted in improved employee engagement and autonomy. In general, Exelsys helped the HR Department to streamline HR processes, improve efficiency and effectiveness and reduce costs. In addition, there has been an improvement in the quality of data. The system also proved invaluable with streamlining the recruitment application process, providing a way of effectively tracking and assessing applicants.
